Setup guide

Connect WhatsApp Business to Gabbex

This guide explains how to link your WhatsApp Business phone number to Gabbex. After setup, customers who message that number get replies from the same assistant you trained for your website — using your knowledge and settings.

Gabbex uses Meta's official WhatsApp Cloud API. You will sign in with Facebook because Meta (the company behind Facebook, Instagram, and WhatsApp Business tools) uses one login for business accounts. That is normal and expected.

Before you begin

Read this checklist slowly. Each item helps prevent errors later.

  • You have a Facebook account that can access your business tools in Meta (Business Suite or Business Manager).
  • You already set up WhatsApp Business with Meta: a WhatsApp Business Account (sometimes called WABA) and at least one business phone number approved for messaging. If you only use the small-business WhatsApp app on your phone and never set up Meta's business side, finish that first in Meta Business Suite (or ask whoever manages your business Facebook for help).
  • You know your Gabbex email and password.
  • Your Gabbex subscription is Spark, Core, or Scale (paid). WhatsApp is not available on the free plan.
  • You are using a computer or tablet with a full web browser for the Gabbex steps. You can test messages from your phone afterward.

Sign in to Gabbex

Open Gabbex in your browser and sign in. If you forgot your password, reset it from the login page before you continue.

Open the Gabbex dashboard

Open your assistant and the WhatsApp channel

Choose the assistant that should answer WhatsApp messages. Open that assistant's Configure (or settings) area.

In the left menu, open Channels, then click WhatsApp (alongside Messenger, Shopify, and your web widget). The page title may say something like "WhatsApp Cloud API." That is the correct place.

Start the connection (Continue with Facebook)

Click Continue with Facebook. Your browser may switch to a Facebook or Meta login window. This step does not connect a Facebook Page for Messenger — it only proves to Meta that you are allowed to manage your WhatsApp Business numbers.

If Gabbex asks you to upgrade, WhatsApp requires a paid plan. Open subscription or pricing in the dashboard, upgrade to Spark or higher, then come back to this page.

Log in to Facebook and approve access

Sign in with the Facebook account that owns or administers your WhatsApp Business Account in Meta. If you use the wrong account, Gabbex will not see your business numbers.

Meta will show permission requests related to WhatsApp. Read them carefully. You must accept the ones Gabbex needs, or the connection cannot finish.

After you approve, Meta sends you back to Gabbex. The address bar may briefly show a path containing facebook/callback — that is normal; the app uses one shared return address for both Messenger and WhatsApp.

Choose your WhatsApp business number

If your Meta account has one or more WhatsApp Business numbers, Gabbex shows a dropdown list. Each line usually shows the display name and phone number. Pick the number customers should use to reach this assistant.

Click the button to finish (for example Connect WhatsApp). Wait until the page stops loading.

Confirm you are connected

When the connection succeeds, you should see a clear "connected" message with your business name and phone number. Keep this screen open long enough to read it so you know it worked.

If you ever need to stop using Gabbex on this number, use Disconnect on the same page. You can run through this guide again later to reconnect.

Send a test message

From another phone (or ask a colleague), open WhatsApp and send a new message to your business number — the same one you picked in Gabbex. Use a simple test such as "Hello."

Allow a short wait. Your Gabbex assistant should reply using the knowledge you configured. If customers normally start with a greeting or menu, you can test that too.

Messenger, Shopify, and the web widget

Messenger uses your Facebook Page. WhatsApp uses your business phone number in Meta. Shopify uses your store. Web is your site embed. They are separate channels in Gabbex — you can connect any combination your plan allows.

If something goes wrong

  • "No WhatsApp Business numbers were found": Meta does not see a WABA or phone number on the account you used. In Meta Business Suite, create or finish WhatsApp Business setup, verify the number if Meta asks, then try Gabbex again with the same Facebook login you use to manage that business.
  • Upgrade or plan message: WhatsApp needs Spark or a higher paid plan. Upgrade, then return to the WhatsApp channel page.
  • Wrong business or wrong number in the list: Cancel the picker if you can, or disconnect after a mistaken connection, then start again and log into Facebook with the correct admin account.
  • Error right after login: Wait one minute and try Continue with Facebook once more. OAuth codes expire quickly; do not refresh the page rapidly or click the button twice in a row.
  • Connected but no replies on WhatsApp: Confirm you messaged the exact number shown in Gabbex. Check that your assistant is trained and not paused. If your organisation uses custom Meta or developer settings, ask your technical contact or Gabbex support whether the WhatsApp app and webhooks are configured for your Meta app.
